SmileCraft® Design Studio ("we," "our," or "us") is committed to protecting your privacy and the privacy of your patients. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our cloud-based dental design platform.

Important Notice: By using SmileCraft®, you acknowledge that patient data will be processed and stored in the United States, regardless of where you are located. Please ensure you have obtained all necessary consents and comply with applicable data protection laws in your jurisdiction.

Data Controller and Processor Relationship

You (the Dental Professional) are the Data Controller: You determine what patient data to upload and why. You are responsible for:

  • Obtaining patient consent for data processing
  • Ensuring compliance with local data protection laws
  • De-identifying data where required by law
  • Maintaining patient confidentiality

SmileCraft® is the Data Processor: We process patient data solely on your instructions to provide dental design services. We implement appropriate technical and organizational measures to protect the data.

Information We Collect

1. Dental Professional Information

When you register for SmileCraft®, we collect:

  • Doctor ID: A unique identifier (e.g., UKJS301124) generated from your country code, initials, and registration date
  • Identity Information: Full name, email address, phone number
  • Professional Information: Practice name, registration number, registration region
  • Location Data: Address, city, postal code, country
  • Account Information: Username, password (encrypted), subscription details

2. Patient Data (Processed on Your Behalf)

You upload patient data for design services. We collect:

  • Case ID: Unique identifier combining your Doctor ID, patient initials, and submission date (e.g., UKJS301124-AB-021224)
  • Patient Identifiers: Initials or codes only (NOT full names)
  • Clinical Images: Intraoral photos, facial photographs
  • Scan Files: STL, PLY, or other 3D scan formats
  • Video Footage: Smile videos, dynamic assessments
  • Clinical Notes: Your instructions and preferences for the design

Privacy by Design: Patient data is always linked to your unique Doctor ID and Case ID. We never require full patient names in our system.

3. Technical and Usage Data

  • IP addresses and device information
  • Browser type and version
  • Access times and usage patterns
  • File upload and download logs
  • Case submission and completion metrics

How We Use Your Information

Dental Professional Data:

  • To create and manage your account
  • To process payments and manage subscriptions
  • To communicate about cases, updates, and support
  • To comply with professional verification requirements
  • To improve our services and user experience

Patient Data:

  • To provide dental design services as requested
  • To create smile designs, veneer designs, and related deliverables
  • To maintain case history for quality assurance
  • To fulfill our contractual obligations to you

We do NOT use patient data for marketing, research, or any purpose beyond providing the specific design services you request.

Data Storage and International Transfer

Primary Storage Location

All data uploaded to SmileCraft® is stored on secure servers located in the United States, powered by industry-leading cloud infrastructure providers with SOC 2 Type II certification.

AWS US-East region with automated backups to US-West for redundancy

Encryption

AES-256 encryption at rest, TLS 1.3 for data in transit

International Data Transfers

If you are located outside the United States:

  • Your data will be transferred to and processed in the US
  • We rely on your explicit consent (obtained during registration) for this transfer
  • We implement Standard Contractual Clauses (SCCs) as approved by the EU Commission
  • You maintain the right to withdraw consent, though this will prevent use of our services

Step-by-Step Data Journey

You Upload Patient Data

Through the SmileCraft® Portal, you upload photos, scans, videos, and instructions. Each case is assigned a unique Case ID (e.g., UKJS301124-AB-021224) combining your Doctor ID with patient initials and date.

Secure Storage & Encryption

Files are immediately encrypted (AES-256) and stored in our US-based secure cloud infrastructure. Access logs are created for audit purposes.

Transfer to Design Hub (Anonymized)

Your case is securely transmitted to the SmileCraft® Design Hub. Important: Our designers only see:

  • The Case ID (e.g., UKJS301124-AB-021224)
  • Patient initials or codes
  • Clinical files and your design instructions

Designers do NOT see your full name, practice name, email, or any identifying information about you.

Design Work Completed

Designers create your smile design and upload result files to the case. These are linked back to your Doctor ID in our secure database.

Results Delivered to You

You receive notification and can download your design files through the Portal. Files remain available for 90 days, after which they are securely deleted for HIPAA compliance.

Why This Matters for Privacy

By using anonymized Doctor IDs, we protect your professional identity while maintaining full traceability for you (the admin) to manage cases and provide support. This design minimizes unnecessary data exposure while ensuring accountability.

Data Retention and Deletion

Retention Periods

  • Patient case files (photos, scans, videos)90 days after completion
  • Design deliverables and results90 days after completion
  • Case metadata (IDs, dates, service type)7 years (regulatory requirement)
  • Your account informationDuration of active account + 1 year
  • Payment and billing records7 years (tax requirement)

Automated Deletion

We implement automated deletion policies:

  • All uploaded files and design results are permanently deleted 90 days after case completion
  • Deleted files cannot be recovered, even by SmileCraft® staff
  • You will receive email notifications 7 days before automatic deletion
  • You can request early deletion at any time via your account dashboard
